POSITION SUMMARY:                

This position involves assisting the Senior Vice President of Seaboard Solutions and various departments, as needed, with commercial and/or administrative functions that support the department assigned. To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. QUALIFICATIONS:

Required

  • One (1) year of experience in an administrative support function.
  • Strong organizational skills, ability to multi-task and prioritize.
  • Intermediate PC skills in programs such as MS Word, Excel and Outlook.
  • Must be able to communicate at an advanced level in English and intermediate to advanced level in Spanish.
  • High School diploma or equivalent.
  • Strong time-management and organizational skills. Must be able to prioritize and be detail oriented.
  • Ability to work with limited supervision, multi-task and possess strong initiative.
  • Ability to think logically and follow procedures and instructions.
  • Ability to establish and maintain effective working relationships with customers and fellow employees.
  • Ability to work extended hours, holidays and/or weekends, as needed.

 

DUTIES AND RESPONSIBILITIES:

Primary

  • Assists the company Senior Vice President with administrative functions.  
  • Attends the reception of visitors and the company incoming calls.  
  • Assists with administrative functions of the various divisions in the areas of Export Traffic, NVOCC Traffic, Import CHB, Logistics, Transportation, data entry, customer service, etc.
  • Attends high volume of incoming telephone calls for the department manager and directs/delivers them as necessary.
  • Assists with managing office and warehouse supplies and serves as a liaison with the procurement division. 
  • Assists with the Marketing supplies, inventory controls, and distribution of same. 
  • Liason’s with the Sourcing & Facility Division to address facility matters.
  • Produces photocopies and performs filing as required by supervisor and follows up with contacting party to assure receipt of such.
  • Receives and distributes correspondence.
  • Prepares reports requested by the department manager, where information may be obtained from a variety of sources.
  • Type’s letters and memoranda as requested by supervisor.
  • Maintains and updates departmental filing system.
  • Works on special projects as assigned by supervisor.
  • Perform additional related duties as assigned.

 

PHYSICAL REQUIREMENTS:

  • While performing the duties of this job, the employee is regularly required to use his/her fingers. 
  • The employee frequently is required to talk and/or hear. 
  • The employee is continuously required to sit.
  • The employee is occasionally required to stand and walk. 
  • The employee must occasionally lift and/or move up to 10 pounds. 
  • Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus.

 

SAFETY REQUIREMENTS:

SUPERVISION RECEIVED AND EXERCISED:

Receives direct supervision from the Senior Vice President and the assigned Division Manager.  Does not exercise supervision over any position.

 

CONDITIONS:

  • Indoors office.  Exposed to controlled temperature and office environment with occasional exposure to warehouse and all possible environmental factors such as extreme heat, rain, wind and high humidity.
  • The noise level in the work environment is usually busy (many phones in open cubicles).
