POSITION SUMMARY:                   

This position is responsible for providing assistance that supports the Human Resources Department, carrying out general office functions that are routine in nature and are performed in accordance with general work instructions and established office practices, procedures, and precedents. To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. QUALIFICATIONS & ABILITIES:

  • One (1) year experience handling clerical duties in a fast-paced office environment.
  • Basic skills in programs such as MS Word & Excel & Outlook. Experience in Power Point and Publisher a plus.
  • Bilingual with the ability to communicate (read, write, and speak) at an Intermediate level both in English and Spanish as employee population is predominately Spanish-only speaking
  • Ability to meet and deal effectively with the customers, executives and the general public, and establish and maintain effective working relationships with fellow employees. Well-developed interpersonal skills. 
  • Handle multiple phone lines.
  • Strong time management skills.  Must be able to prioritize.
  • Strong organizational skills and be detail oriented
  • Ability to perform and prioritize a variety of clerical duties with minimal supervision.
  • Ability to think logically, follow procedures, instructions and make sound decisions
  • Ability to perform multifaceted projects in conjunction with normal activities
  • Ability to accurately process alpha/numeric information
  • Ability to work a flexible schedule, extended hours, holidays, and/or weekends as needed
  • Ability to consistently meet deadlines
  • Ability to exercise independent judgment within established systems and procedures is preferred

 

DUTIES AND RESPONSIBILITIES:

  • Assists the department in a variety of clerical functions as well as on special projects (such as, but not limited to, data entry, filing, answer phones)
  • Perform system entry of timecards into the timekeeping systems (ADP eTime and Access)
  • Assist employees with accessing their portal and benefit enrollments, in English and Spanish, including requests to reset portal password.
  • Back-up for Receptionist on breaks and days off
  • Assist with in-house holiday events
  • Special projects as needed
  • Perform additional duties as assigned.

 

PHYSICAL REQUIREMENTS:

  • Ability to communicate (read and write) effectively in a business environment.
  • Ability to follow procedures and instructions.
  • While performing the duties of this job, the employee is regularly required to sit and use his/her fingers. 
  • The employee frequently is required to talk and/or hear. 
  • The employee is continuously required to sit.
  • The employee is occasionally required to stand and walk. 
  • The employee must occasionally lift and/or move up to 10 pounds. 
  • Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus.

 

SUPERVISION RECEIVED AND EXERCISED:

Receives direct supervision from the Payroll Supervisor and HR Supervisor and indirect supervisor from the Regional HR Manager and HR Director. Does not exercise supervision over any other position.

CONDITIONS:

  • Indoors office, exposed to controlled temperature and office environment
  • The noise level in the work environment is usually busy due to open areas and telephones.
