POSITION SUMMARY:                

Individual provides ocean traffic coordination for full container loads (FCL) cargo, with the assistance of the Stevedoring Department, Dispatch and Port Operations.  Individual receives telephone calls from customers in order to book/coordinate the movement of cargo on the company’s vessels for exportation to countries of service assigned. To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. QUALIFICATIONS:

Required

  • One (1) year of experience handling traffic, documentation, and/or customer service functions in the export ocean transportation Industry.

  • Must be able to communicate effectively in English and Spanish (verbal and written) at an intermediate level.

  • High School Diploma or Equivalent.

  • Ability to meet and deal effectively with the customers, executives and the general public.

  • Strong time management and organizational skills.  Must be able to prioritize and detail oriented.

  • Ability to work with limited supervision, multitask and possess strong initiative.

  • Ability to work extended hours, holidays and/or weekends, as needed.

Preferred

  • Haz-mat Certification.

 

DUTIES AND RESPONSIBILITIES:
Primary

  • Answer telephone calls and process bookings requested by customers.

  • Ensure that all documentation is received timely as required by governmental agencies, including in-bound cargo and hazardous declarations.

  • Check documents, make necessary corrections and distribute them to corresponding governmental agencies in time to meet their respective deadlines.

  • Prepare Hazardous Cargo manifest.

  • Prepare Loading Guide and confirm the accuracy of Loading Guide with Stevedoring, ensuring the short/shipped cargo is properly handled.

  • Coordinate spotting or pick up of cargo with dispatch and customers.  Release cargo to Dispatch via computer.

  • Create Intermodal booking and send verification via the computer.

  • Inform customers of any delays and/or damages.

  • Coordinate to keep Operations involved/abreast of status of shipment.

Secondary

  • Create files with TIR, bills of lading (BL) and Shipper Export Declarations (SED) and provide to Data Entry Clerk for system entry.

  • Send documentation to Credit & Collections for release/hold of cargo.

  • Perform other duties as assigned.

 

PHYSICAL REQUIREMENTS:

  • While performing the duties of this job, the employee is regularly required to use his fingers.

  • The employee is occasionally required to stand and walk. 

  • The employee must occasionally lift and/or move up to 10 pounds.

SUPERVISION RECEIVED AND EXERCISED:

Receives direct supervision from the Division Manager and indirect supervision from Division VP.  Does not exercise supervision over any other position.

 

CONDITIONS:

  • Indoors office.  Exposed to controlled temperature and office environment.

  • The noise level in the work environment is usually busy (many phones in open cubicles).
